User Rights and Company Access for Accounting Packages in Basecone

Rights and access to the companies in the accounting packages

When adding companies to Basecone, the user account that connects Basecone to the accounting package must have sufficient rights and access.
If the user does not have the required permissions, Basecone cannot retrieve the list of companies.

Common Error Message

If the user does not have the correct rights, you may see the following error message in Basecone:

“No companies available. Contact your system administrator.”

Step 1: Identify the User Used by Basecone

Before checking permissions in the accounting package, first confirm which user Basecone is connected with.

How to Find the Connected User in Basecone

    1. Go to Settings

    2. Navigate to Organisation

    3. Select Connections

    4. Click Action / Edit on the relevant connection

    5. Choose View user settings

The displayed user is the account whose rights and access must be checked in the accounting package.​

How to Check User Rights in Twinfield

  1. Log in to Twinfield

  2. Go to Settings

  3. Select Access settings

  4. Open Users

  5. Click User settings

  6. Select the relevant user

You can now see the role and level assigned to the user.

Required Rights for Basecone

To link Twinfield with Basecone, the user must have one of the following:

  • User level: 1, 2, 3, or 4
    OR

  • Subscription: Extra Accounting

Workflow Authorization (Optional)

If workflow authorization is used and payment status needs to be adjusted:

  • Minimum required: Level 3

  • Or subscription: SME Accounting

Company Access in Twinfield

  1. Go to the Companies tab within the user settings

  2. Review:

    • Companies the user already has access to

    • Companies that are available but not yet added

Viewing Role Permissions

To see which permissions belong to a specific role:

  1. Go to Settings

  2. Select Access settings

  3. Open Roles

  4. Click the relevant role

  5. Review Menu access

  1. Log in to Exact Online

  2. Go to Master data

  3. Select Users

  4. Open Control: Rights

Reviewing Permissions

  1. Click Rights (lock icon) under Monitor

  2. Review the permissions screen:

    • Enabled permissions (checked)

Basecone App Permissions

To verify the Basecone integration:

  1. Go to My Exact Online (top right)

  2. Open Security Center

  3. Select Permissions for my apps

  5. Scroll to Access to

  6. Click Manage administrations

  7. Verify which administrations are selected and available

Checking User Status in AccountView.Net

  1. Log in to AccountView.Net

  2. Go to Users

  3. Check whether the user:

    • Is active

    • Is marked as administrator

Important Note About Enterprises

  • In AccountView, enterprises are linked to companies

  • If the number of enterprises for a user is 0, that company will not appear in Basecone

Viewing Users in AccountView

Navigate to:

  • Document

  • System Master Data

  • User

Standard AccountView Permissions

In AccountView Team or Business without extension modules:

  • Every user who can log in:

    • Can access all administrations

    • Has full rights

Extension Modules and Advanced Rights

1. Extended Access Protection I

Allows restrictions on:

  • Administrations a user may open

  • Objects (windows) a user may access

This is managed via roles assigned to the user:

  • Four standard roles: full access

  • Three example roles: restricted access

To analyze access:

  • Go to Document > Access Analysis

  • Review check marks (allowed) and prohibition signs (restricted)

2. Comprehensive Access Security II

Adds more granular control:

  • Combine administrations with roles

  • Restrict specific menu commands

    • Example: user can open a timesheet but cannot journalize hours

Users can also be grouped so that multiple employees share identical rights.

Adding Users to Administrations

  1. Log in to AccountView

  2. Go to File > Administrations

  3. Select an administration

  4. Open Administration master data

  5. Go to Users

  6. Add the user to the administration

Required User for Basecone Integration

To create the main link with Basecone:

  • A user with full rights is required

  • In most cases, this is the SYSTEM user

SYSTEM User Permissions

  • Linked to the Management rights group

  • Has access to all administration groups

Managing Users and Rights

  1. Log in to Boekhoudgemak & Multivers

  2. Go to Administration

  3. Select Users

  4. Choose Maintenance users

  5. Click the SYSTEM user

  6. Add the required administration groups

Managing Permission Groups

  • Go to Manage > Users to maintain user data

  • Assign permission groups to users

To review permissions in detail:

  1. Go to Administration

  2. Select Permissions

  3. Open Maintenance Permissions

  4. Review enabled permissions per group and user
