Office Settings in Basecone (Super User Only)

Overview of Office Settings Access

The Office Settings in Basecone allow you to configure and manage your organisation’s environment. This includes organisational details, security preferences, billing information, and accounting system connections.

📌 Access restriction:
Only users with the Super User role can view and manage the Office Settings.

You can find these settings by navigating to:

Left menu → Settings → Organisation


Organisation Settings: Details Tab

Purpose of the Details Tab

The Details tab provides core information about your Basecone office environment. This information is essential for user access and reporting.

What You Can See in the Details Tab

When you open Settings → Organisation, the Details tab opens automatically and shows:

  • Office Code

    • This code was created when you signed up for Basecone.

    • It is required for users to log in to Basecone.

  • Contract Contact Email

    • The email address listed here receives:

      • A weekly overview of all documents processed in Basecone.

      • The overview is sent at the beginning of each week.

Changing the Office Code

If the current Office Code does not meet your preferences:

  • You can request a change.

Organisation Settings: Preferences Tab

Purpose of the Preferences Tab

The Preferences tab allows you to configure organisation-wide security settings.

Available Settings

  • Two-Factor Authentication (2FA)

    • You can enable 2FA for all users within the organisation.

    • Once activated, all users will be required to complete two-step verification when logging in.

✅ This setting increases overall account security and is recommended for all organisations.


Organisation Settings: Billing Tab

Purpose of the Billing Tab

The Billing tab contains all contractual and billing-related information for your Basecone account.

What You Can View

  • Account contact details

  • Terms & Conditions

  • Service Level Agreement (SLA)

Editable Billing Information (Super User Only)

A Super User can edit the following fields if necessary:

  • Organisation name

  • Street name

  • House number

  • Postal code

  • City

  • Company Registration Number

  • Contact person

  • Email address

  • Phone number

  • Billing email address (used for the electronic monthly invoice)

Authorisation to Make Changes

If you are authorised to update company information:

  1. Change the authorisation setting from No to Yes

  2. Click Save to apply the changes

⚠️ Always verify that billing information is correct to prevent invoicing issues.


Office Settings: Connections Tab

Purpose of the Connections Tab

The Connections tab allows you to manage accounting system integrations connected to Basecone.

You can access this via:

Settings → Office → Connections

What You Can Do in the Connections Tab

  • View connected accounting systems

  • Check the connection status of each system

  • Manage existing accounting system connections

  • Create a new accounting system connection if required


Synchronisation User Explained

What Is a Synchronisation User?

For each connected accounting system, Basecone creates a Synchronisation User. This user is responsible for retrieving master data, including:

  • Debtors

  • Creditors

  • Ledger accounts

  • VAT codes

This data is used by Basecone to:

  • Improve document recognition

  • Automatically link documents to the correct debtor or creditor

  • Increase booking speed and accuracy

How to View the Synchronisation User

  1. Go to Settings → Office → Connections

  2. Click the pen icon next to the accounting system

  3. Click the username to see:

    • The Basecone user

    • The linked accounting system user


Recommended Settings for the Synchronisation User

Basecone strongly recommends the following configuration:

Role Requirements

  • The user can have either:

    • Accountant, or

    • Super User role

  • A linked accounting system user must be connected

Required Permissions

The Synchronisation User must have:

  1. Access to all companies in the accounting system

  2. Permission to retrieve master data from all linked companies

Twinfield-Specific Requirement

  • The connected Twinfield user must have User Role: Level 1
