FAQ - the authorisation filters

As of Friday 1 March 2019 it is possible to create authorisation filters per company in Basecone. Read more of this in this article.

1. What are authorisation filters?

An authorisation filter is a term where the setting can automatically assigning documents to an authorisation flow (the same group of authorisers).

2. Based on which criteria can you create a authorisation filter?

In Basecone you can create filters based on the following criteria:
      1. Supplier & amount
      2. Supplier
      3. Amount

3. Based on which filter sequence is the authorisation filter selected?

  • Basecone will first check whether a flow can be selected on the basis of the criteria Supplier & amount;

  • If this criteria cannot be found, Basecone will look at the next criteria Supplier;

  • If this criteria cannot be found, Basecone will look at the last criteria Amount.

4. Which are the conditions when creating an authorsation filter?

The conditions may only overlap if the authorisation filters are in use with other types of filters (supplier & amount, supplier, amount). When there are conditions in the same types of filters, they may not overlap. each other.

Example: When create a filter for a supplier, you can select this supplier and use the filter 'Supplier & Amount' and the authorisation filter 'Supplier'. Basecone will recognize it based on the prioritisation which of the two authorisation flow must be applied.

If you create a filter two times of the same supplier with the Supplier & amount filter, this can cause conflicting problems when the filters are created.

5. Which user roles can create or modify a filter?

Only users with one of the following user roles can create or modify a filter:

  • Super user

  • Accountant

  • SME Accountant

  • Authorisation administrator

6. How can I create authorisation filter per company?

Before you can create an authorisation filter, an authorisation flow needs to be created first. If you do not see the option to create filters in Basecone, you must first create and save an authorisation flow. After this you can create and save filters.

7. What happens if an invoice cannot be assigned to a filter?

When an invoice cannot be assigned to a filter, this invoice will be assigned to the default workflow after booking. You create an authorisation flow and this workflow can then be set as default. See the article Authorisation flow how you can create this.

8. How many filters can you create per company?

You can create a maximum of 25 filters per company.

9. I have adjusted the amount, but the filter is not applied. Why is that?

The filter will not be applied when the amount is adjusted in the field 'amount including VAT'. Basecone can only apply the filter when the amount is adjusted in the field 'amount excluding VAT'.

10. Why can't I create a filter in the authorisation before booking?

After an invoice is tagged a document will go through the recognition server. Basecone then recognizes the values such as supplier and amount. This is the reason that the creation of filters is only available for authorisation after booking.
