AccountView Error When Posting from Basecone: Invalid Value in Debtor/Creditor Field

Issue

When processing an entry in Basecone, the following error message may appear:

"Accounting system error, an error occurred while saving . Value in the Debtor/Creditor field of the Journal Entries file is invalid."

This error originates from AccountView and indicates that the debtor or creditor specified in the entry cannot be found in the administration for the selected fiscal year.

Cause

This error occurs when a debtor or creditor used in the entry does not exist in the active fiscal year of the administration.

Possible causes include:

  • The debtor or creditor has not yet been created.

  • The debtor or creditor exists only in a previous fiscal year.

  • The debtor or creditor was not carried forward when the new fiscal year was created.

  • An incorrect debtor or creditor number was entered in the booking.

Resolution

Verify That the Debtor or Creditor Exists

  1. Open the administration in AccountView.

  2. Check whether the debtor or creditor used in the entry exists in the relevant fiscal year.

  3. Search using the debtor/creditor number or name referenced in the transaction.

Debtor or Creditor Is Missing

If the debtor or creditor does not exist:

  1. Create the debtor or creditor in the relevant fiscal year.

  2. Save the changes.

  3. Reprocess the entry in Basecone.

Debtor or Creditor Exists Only in a Previous Fiscal Year

If the debtor or creditor exists in an earlier fiscal year:

  1. Verify whether the debtor or creditor was carried forward to the current fiscal year.

  2. Add the debtor or creditor to the current fiscal year if required.

  3. Reprocess the entry in Basecone.

Additional Verification

If the transaction was eventually processed successfully, but you want to verify which debtor or creditor was used:

  • Open the transaction in AccountView.

  • Review the debtor or creditor details on the booking line.

  • Compare these details with the information in Basecone to confirm the correct relationship was used.
